Inventory Administrator

This role is in the UPS Healthcare Italy division which operates in the pharmaceutical logistics and distribution market, shipping from Formello (Rome) and Liscate (Milano).

Can you prove you’re capable of being responsible for the accounting of the Inventory stock? You will be involved from the management of the Inbound process by uploading the data of incoming goods (reported in the delivery notes) into the system (including administrative support activities for scanning, sending and archiving of the entire related documentation), to the management of stock levels, status changes and inventory movements of goods in the ERP, in accordance with internal procedures and client’s guideline.

We’re offering a permanent contract to a skilled worker who wants to become responsible of compiling and maintaining daily accounting records of quantity, batch, type, status of all products received from the principal companies, providing support to the warehouse responsible to accelerate the availability of sales orders received from clients and confirming their fulfillment at the end of the logistic process.

What you’ll do

  • Management of the company WMS and Customer’s ERP systems.
  • Control and verification of data loggers if they are present at the time of receipt and return management.
  • Management of inventory movements of warehouse ‘on demand’ by client.
  • Product type transformation (e.g.: sale vs. sample).
  • Price update (price change or change of leaflet).
  • Resolution of warehouse problems related to stock management and delivery notes.
  • Management of the post-inventory reconciliation activities.
  • Master Data Management maintenance.
  • Daily control of products in a blocked state.
  • Collaboration with clerks in the activities of blocking / unlocking lots or storage positions.
  • Product traceability management

What you’ll need

  • We’re flexible, but ideally you will have a diploma or degree in a technical area.
  • You must have worked in an Inventory team on complex production lines, and you should have at least two years’ experience within a company managed by GMP and advanced quality systems.
  • You have a good proficiency in WMS (preferably in AS/400), SAP and Oracle.
  • You have strong Excel skills.  
  • Other than that, you’ll be an analytical problem solver who sets goals and stays focused on achieving them.
  • You’ll also need strong oral and written English language skills.
