Work Environment:  Office is located in an aircraft maintenance facility where UPS aircraft undergo scheduled inspection and repairs. Employees of VT-SAA perform this maintenance. UPS Supervisors provide FAA required oversight of work being performed, offer assistance, accomplish audits and ensure and safety compliance with current FAA regulations. The office is climate controlled. Other administrative personnel are on site and are responsible for UPS Finances and UPS Materials related to work performed here.

Job Summary:  Administrative assistant for UPS Aircraft Maintenance at a 3rd party vendor who performs work on UPS Aircraft.

Job Description:  Work closely with onsite UPS Facility Manager and Supervisors. Answer telephones and take messages as required. Order and maintain sufficient quantities of office supplies. Maintain office files to include general correspondence, aircraft check information, etc. Track and maintain a data base of UPS Supervisors "in process" audits, then interface with VT-SAA QA/QC for corrective action responses. Review and audit onsite Technical Data for currency. Prepare pre-check paperwork and check notebooks for each aircraft prior to visit. Process Request for Quotes (RFC's) through the RFQ computer application and interface with VT-SAA Marketing Department. Edit and maintain the Department Administrative & Training Manual (ATM). Data entry of log book pages into IMPACTS. Interface with UPS as well as VT-SAA IT departments as required for any office Information Technology problem. Interface with VT-SAA Security for guest access to facility. Build reports and presentations as required by UPS Management team, up to and including the Director of Engineering in Louisville, KY.

Required Skills:  Must be proficient in the use of Microsoft Office, especially Word, Excel, Outlook and PowerPoint. Knowledge of Access will be a plus. Must be able to multi task and be a self-starter to resolve office related issues as they arise. Several computer applications are required to be used and training will be accomplished on site after hire. These include SAFARI (UPS Fuel Accounting), AOMS (Aircraft Maintenance Manual) Coordinator, IMPACTS (Application used to produce various Aircraft Maintenance Reports) and SharePoint.

Interpersonal Skills:  Must be able to speak clearly and understand when working over the phone. A portion of this assignment may require working with people all over the US, so clarity and brevity are extremely important. Patience is required due to the fast pace environment.
