Job Summary

The External Communications Assistant Manager is responsible for Public Relations (PR), Social Media and Customer Communications strategies that protect and enhance UPS’s reputation, and support key business priorities.

The Assistant Manager develops and edits PR and Customer Communications materials and assets (news releases, media statements, speeches, byline articles, talking points, brochures, case studies, infographics and social media posts) to maintain strategic messages that align with key business priorities, and are clear and consistent across all external communication channels. He/she also provides crisis communications support and serves as a media spokesperson.

This position also determines the appropriate venues for speaker placement and conference appearances to advance UPS's thought leadership.

Job Responsibilities

Development and Execution of Strategic Integrated Communications Plans

  • Develops integrated communications plans that incorporate business, cultural, and media practices to advance UPS’s reputation and drive business growth.

  • Collaborates with Communications and Marketing members to identify a cost-effective approach to message delivery and define project budget.

  • Meets with sponsors/clients (internal) to determine project objectives, key performance indicators, and timelines. Conducts research to obtain additional information to prepare project briefs or executive summaries. Evaluates clients (internal) objectives to identify effective communications strategies and messaging.

  • Facilitates brainstorming sessions with internal and cross-functional team members to develop ideas for messaging.

  • Keeps current on all aspects of cross-functional communications projects to ensure consistent messaging for across all communications channels (Advertising, Brand, Customer Communications, PR, Social Media and Employee Communications).

  • Supervises specific projects and budgets to ensure timely execution of plans and efficient use of PR and Customer Communications resources.

  • Develops Subject Matter Expertise (SME) in public relations, social media and customer communications best practices.

  • Supports media coaching initiatives for executive leadership in the region to prepare them for interviews with the media.

Maintains Stakeholder Relationships

  • Develops relationships with key stakeholders to maintain awareness of organizational issues and priorities.

  • Communicates with Region/District/Country staff on tactics and scope of integrated communications plans and acts as liaison for information requests from the field to ensure a quick response.

  • Solicits information from cross-functional resources (i.e., subject matter experts) to accomplish work.

  • Participates in strategic project calls to understand competitive differentiators, business results, and key industry issues in order to compose briefing documents, sales collateral, and customer stories for proactive story pitching with the media.

Communicates Messages to External Audiences

  • Reviews and edits external multimedia communications assets from PR agency and third-party vendors (byline articles, case studies, social media posts, infographics, position papers, etc.) on current events, new products/services, policies, etc., to protect UPS’s image & support the business objectives, and ensure the messages are consistent with UPS’s enterprise priorities, policies and culture.

  • Develops proactive and reactive customer communications assets to encourage conversion and penetration, and/or minimise churn.

  • Researches, writes, and edits speeches and byline articles for senior management to raise executive visibility and enhance UPS’s reputation before the public.

  • Contacts interested third parties to secure speaker placements in appropriate venues, and coordinates meeting logistics with conference organizers.

Media Relationship Management

  • Facilitate coordination between stakeholders to ensure media requests are met in a timely manner.

  • Prepares executives and SMEs for media engagements, and serves as UPS spokesperson on designated matters in the absence of senior leadership.

  • Develops relationships with media to educate about UPS’s business and build a favourable environment for positive media coverage of UPS activities.

  • Monitors media coverage to assess message retention, corrects inaccurate reporting through modifications to the media’s archives and/or through additional stories.

  • Assists media with photo and video shoots at UPS facilities to ensure presentation of a professional image.

Establishes Crisis Communications

  • Assembles background information and facts about accidents and crises to ensure that UPS responds to information requests appropriately.

  • Performs preliminary analysis of reputation risk and helps determine strategic direction for communications (e.g., reactive, proactive, limited or full disclosure) to maintain UPS’s positive public image during a crisis.

  • Helps develops key messages in a timely fashion for dissemination to customers and to the public (via the media) both to protect and enhance the UPS brand.

  • Acts as a spokesperson for UPS with assigned media to maintain clear communications with all sources of information to the public.

Job Requirements
  • Possess a Diploma or Degree in Public Relations, Communications, Journalism or Marketing.

  • Minimum 5 years of Corporate Communications, Public Relations, Social, Digital Communications experience, developed either in-house or in an agency environment.

  • Excellent English writing skills and impeccable verbal and presentation skills.

  • Good level of written and spoken Mandarin or another Asian language is preferred to liaise with internal and/or external stakeholders based across the Asia Pacific region.

  • Proven experience in public relations and/or social media; with sound awareness of traditional media and social media environments in Asia.

  • Ability to develop and write compelling and creative content and communicate clearly.

  • Strong project management and budget management skills.

  • Detail-oriented, highly organized and able to manage multiple tasks and projects simultaneously.

  • Self-starter and innovator with ability to thrive in a fast-paced, unstructured and multi-national environment while also working independently with minimal supervision.

  • Address and work with stakeholders across multiple-levels, and a team player who can pull together cross-functional groups to work towards accomplishing projects.
