Job Summary

The Executive Assistant is a senior specialist position that provides high-quality support to the District Manager and other top-level executives in a timely and professional manner. This is a fast paced, ever changing, position with minimal supervision.A high level of integrity and commitment is required.

Job Requirements / Skills

  • Planning and booking internal and external meetings and managing District Manager’s calendar along with the district staff’s calendars
  • Booking all travel for District Manager and District Staff as needed

  • Creating meaningful itineraries for District Manager while he travels across Canada (need to include PCMs, meeting with customers, union officials, management/non-management, facility tours, etc.)

  • Scheduling District events and meetings and managing District calendar while coordinating with the Region to ensure meeting schedules will not conflict

  • Answering and screening calls for District Manager including responding to general inquiries and coordinating with departments or person best suited to handle such inquires

  • Interacting with Region and Corporate staff

  • Taking the lead in organizing and implementing District events such as Circle of Honor and Talent Reviews

  • Preparing meeting agendas

  • Overseeing main office functions including maintaining adequate stock of office supplies, copy paper and toners and keeping down time of photocopiers and fax machines to a minimum

  • Controlling security cards for access to District Office and card supplies

  • Controlling and maintaining key log for all District Office offices and cubes

  • Completing expense accounts for staff functions as needed

·Experience in project management; ability to task and manage projects at the same time


·Outstanding time-management skills specifically in the areas of planning, organization skill


·Willingness to take on tasks or assignments as needed


·Superior analytical and problem solving skills


·Excellent Computer skills including Microsoft Word, Excel, Power Point, Outlook


·Excellent interpersonal relationship skills


·General understanding of core business procedures such as accounts receivable, accounts payable,payroll, order entry


·Ability to complete complex projects


·Detail-oriented


·Ability to handle situations with tact and diplomacy


·Strategic thinker


·Ability to draw upon resources from groups and lend resources to groups


·Committed to a team environment – ability to act as a leader/team player, as appropriate


·Ability to accept direction from multiple levels of management


·Ability to work without direct supervision




Education


·University Degree – Business Administration / Management
