UPS is seeking a dynamic Part-time Plant Engineering Administrative Office Assistant to provide administrative and office services for multiple supervisors/managers. He/She will utilize and exhibit reporting skills, internet research skills, professionalism, processes management, information analysis and inventory control.

Responsibilities and Duties

  • Fields telephone calls and arranges callbacks to protect management time
  • Screens calls and send calls elsewhere as needed
  • Screens visitors to control interruptions
  • Provides backup data for future meetings
  • Reviews employee timecards for accuracy, inputs work hours to ensure correct payroll
  • Prepares reports by analyzing data
  • Maintains cost control logs and updates cost plans
  • Updates insurance and control certificates to ensure compliance
  • Coordinates projects to relieve management of administrative duties and keep projects on schedule
  • Ensures operation of equipment by completing preventive maintenance requirements and calling out for repairs
  • Maintains inventory of office supplies by checking stock, anticipating needed supplies, and verifying receipt of supplies
  • Provides supplies in hub as needed
  • Dispatches mechanics, porters, and contractors

Knowledge and Skills

  • Engineering background and working knowledge of mechanical items
  • Excellent oral and written communications skills
  • Excellent time management skills and ability to meet deadlines
  • Must be self-motivated to work in an unsupervised environment
  • Perform chemical and mechanical inventory
  • Software skills needed
    • Microsoft Project (project scheduling)
    • I-Procurement
    • Microsoft Outlook
    • Microsoft Office (Word, Excel, PowerPoint and Access)
    • Adobe Acrobat
    • MAXIMO
    • Auto-Cad - Preferred
